Founders Associate (m/f/d)

Your Mission

As the Founder’s Associate, you’ll be a trusted strategic partner to the co-founders, helping them maximize their impact and effectiveness. Your mission is to act as a force multiplier, proactively managing priorities, projects, and communications to reduce their workload and cognitive load. Every action you take is guided by one question: “How can I enable the co-founders to focus on strategic priorities and drive the company forward?”

You’ll be the central hub of the leadership team, ensuring smooth execution, strategic alignment, and efficient operations in a fast-paced startup environment. 

What You’ll Do

  • Maintain a comprehensive, forward-looking overview of all founder commitments. Anticipate needs, ensure alignment, and prevent conflicts. This includes preparing meeting materials, coordinating national and international travel, and identifying opportunities to optimize time and energy.

  • Serve as the main point of contact for general company inquiries not addressed to a specific individual. Screen, prioritize, and, where appropriate, independently handle incoming requests and correspondence to protect the founders’ focus and minimize interruptions.

  • Ensure that action items from meetings and communications are consistently tracked and completed. Monitor progress and follow up as needed to maintain accountability and momentum.

  • Prepare agendas with the intended outcomes in mind, anticipate key questions and information needs, attend critical meetings, document decisions and action items, and support follow-through in collaboration with relevant stakeholders.

  • Lead recurring administrative and operational processes. Create, document, and continuously improve clear playbooks for key tasks (e.g., travel booking and coordination) to ensure consistency, clarity, and scalability, minimizing founder involvement once processes are established.

What We’re Looking For

  • Experience: At least 4 years in a similar role supporting senior leadership, ideally within a fast-paced IT, tech, or consulting environment.

  • Exceptional Stakeholder Management: High emotional intelligence with a proven ability to manage competing priorities and communication styles from multiple senior executives, ensuring alignment and smooth collaboration.

  • Professional Communication & Discretion: Excellent German and English skills (written and spoken). Confident interaction with internal teams, clients, and partners, while handling sensitive information with utmost discretion.

  • Tech-Savvy & Process-Oriented: Proficient with modern productivity and collaboration tools. Adept at not only using but also optimizing digital workflows and processes.

  • Proactive Ownership:  Demonstrates initiative by anticipating needs, asking thoughtful questions, and suggesting practical solutions. Requests are approached critically and delivered with purpose.

  • Forward-Thinking: Anticipates requirements ahead of time, supporting founders and the team with a calm, solution-oriented mindset and strategic foresight.

  • Highly Organized & Reliable: Effectively manages multiple priorities, follows through on commitments, and brings clarity and structure to fast-moving environments.

  • Project Coordination: Experience in managing small to medium-sized projects, tracking dependencies, and ensuring deadlines are met with minimal executive oversight.

  • On-Site Presence: In-office presence and in-person collaboration are important for this role. Home office days are possible with prior coordination.
