Office & Event Coordinator (m/f/d)

Your Mission

Ensure smooth internal operations and seamless external events, creating an environment where the happtiq team can thrive. This role combines office management, event coordination, and team experience. Anticipating needs, solving problems proactively, and making every interaction reflect our professionalism and collaborative spirit.

What You’ll Do

  • Plan and execute industry conferences, summits, meetups,  workshops, client events, and marketing or partnership initiatives. Coordinate with vendors, prepare materials, and ensure every touchpoint reflects positively on the co-founders and happtiq, while aligning events with company goals and delivering high-quality execution.

  • Organize and manage internal team events, such as workations, holiday celebrations, team-building activities, and regular social gatherings. Ensure these initiatives foster a positive company culture, strengthen collaboration, and create memorable experiences for the team.

  • Ensure smooth and efficient operations of the Vienna office. Manage supplies, vendor relationships, and day-to-day logistics with a focus on quality, cost-efficiency, and a seamless office experience.

  • Support People Ops to facilitate a warm, efficient onboarding and offboarding experience for team members, handling all administrative aspects and acting as a central point of contact to foster a positive and productive work environment.

  • Coordinate travel arrangements for the team related to events, workshops, or off-site activities, ensuring seamless logistics and a hassle-free experience.

What You Bring

  • Proven experience in office management, event coordination, or a similar role, ideally in a fast-paced startup, tech, or consulting environment.

  • Strong ability to manage multiple tasks, prioritize effectively, and maintain attention to detail in a dynamic environment.

  • Anticipates needs, solves problems independently, and takes ownership of responsibilities.

  • Excellent written and verbal communication in German and English. Comfortable interacting with internal teams, vendors, and external partners.

  • Passion for fostering a positive team environment and contributing to company culture through thoughtfully executed internal initiatives.

  • Ability to handle logistics, office operations, and vendor relationships efficiently while maintaining quality and cost-effectiveness.

  • Adaptable to changing priorities and available to support both planned events and ad-hoc needs with a hands-on approach.

  • Strong in-office presence and direct, in-person collaboration. While occasional home office days can be arranged with prior coordination, this role depends on daily accessibility and hands-on support.

  • We offer a competitive starting salary of €42,000 per year, with opportunities for negotiation depending on your expertise and career accomplishments.
